Logging on to Children's University Online for the first time is easy! You will have been sent an email from Children's University Trust entitled 'Welcome to Children's University.' The email contains a link that you will need to follow in order to set up your account.
As the email is automated please check your junk folder as this can sometimes trigger the spam filter.

In order for your schools to begin to use Children's University Online you will need to add the school details to the dashboard. This is a straight forward process. Please click on the link below to view a step by step guide.

In order for schools to administer their children's accounts and activities on Children's University Online the Children's University manager will be required to set them up with a log in.
Adding your colleagues within your Children's University follows the same process.
Once you have logged on to Children's University Online and familiarised yourself with the dashboard you will want to begin getting your learning destinations and activities validated. To do this they will need to fill out a short form which can be accessed though our website

If the activity provider states on the form that they provide activities within your local area, you, as a Children's University manager will need to validate them. Their completed form will come through to your dashboard automatically. National learning destinations will be validated by Children's University Trust.
Once your learning destinations have filled out their online form which can be found here https://www.childrensuniversity.co.uk/get-involved/learning-providers/ their activity will need to be validated and a stamp code generated, this stamp code is then written into participating children's Passport to Learning. The stamp code will is generated during the validation process. All validations take place through your Children's University Online dashboard.

The validation of a learning destination and their activity is only considered complete when a stamp code that is unique and linked to their activity has been generated and given to the person in charge of running the activity. Children collect stamps in their Passport to Learning which they can then enter into their online dashboard, this unlocks additional information about the categories of learning they have engaged with through participation and skill development.
It is possible for one learning destination to have several stamp codes. Multiple stamp codes are usually required when a learning destination has several different activities available to young people that may last for different amounts of time.
Where possible it is preferred for a learning destination to have one stamp code, to keep things simple!

After you have validated an activity, you will need to send the unique stamp code to the learning provider. Below is a template to edit to support you with the validation follow up. You will need to edit each section on the document highlighted in red to include details specific to the activity and the unique stamp code.
There are two ways in which Children's University managers or schools can add children to Children's University Online. The individual method is for when you are wanting to add an individual child or a small group of children. If you are adding a cohort of children it is advisable to use the import method

You can find the order forms for certificates and passports within your resource file on you Children's University Online dashboard. Please allow 28 days for your order to complete.
When children are actively engaged with Children's University Online and adding stamps from validated activities, simple but important reports will be available to Children's University managers and their schools which are accessible through the dashboard.
Within the Ofsted framework, inspectors will make a judgement on a school’s commitment to personal development and character education. Schools that are part of Children’s University will be able to demonstrate this. The reports that are available provide a huge range of actionable data allowing for accurate evaluation and demonstrable impact.

In order to bring consistency of experience for children and to ensure that the impact felt through participation in varying activities is comparable, we use a consistent shared language around categories of learning and skills.
When it comes to skills, Children’s University is a member of the Skills Builder partnership, using their clearly defined set of eight essential skills. We believe, along with hundreds of other schools, charities, employers and educators, that using Skills Builder’s Universal Framework provides children and young people with a common language to use when talking about their own skills development. All 6,300+ activities validated that are listed on Children’s University Online are tagged with up to three of the Skills Builder essential skills in agreement between the activity provider and Children’s University.

We have developed more comprehensive administration access for Children's University managers and school coordinators. This includes being able to batch add stamp codes to up to 50 children's accounts, revoke stamps, delete and archive children's accounts.
Children's University encourages children to be engaging as much as possible with their online dashboard and adding their activity stamps themselves.
However we understand their is a need for additional admin functionality which enables Children's University managers and school coordinators to add a stamp to a cohort of students.
This guide aims to show you how to batch add a stamp to a group of children.
Children's University managers and coordinators are able to revoke a stamp from a child's dashboard. This functionality would be used if a stamp has been added by accident to a child's account or if a child has added a stamp for an activity they did not attend.
It is possible to delete user accounts on Children's University Online, however deleting a child will permanently remove their account along with all their claimed stamps, awards and hours. Their data will not appear on reports - even if the report is for a timespan before the child was deleted. If you do not want to delete you may want to archive the user.

The archive function on Children's University Online is a useful tool enabling Children's University managers the ability to pause user's accounts. Archiving a user will prevent them from logging in and their data will not appear on reports. However, their accounts can be easily restored if you subsequently want to reinstate their account.
If you do not want to archive, you may want to delete the user, this will permanently remove all records from Children's University Online.

Transition is a really important part of Children's University and we have developed the Transfer functionality to support Children's University managers with this administrative task.
Transferring user accounts to a new school is straight forward on Children's University Online, however a lot of the transfer process is done offline. Before transferring the user accounts here are some things to consider...
1. You are only able to transfer children's accounts to a primary or secondary school that is within your area.
2. If a child is transferring to a school that is not within your area you will need to contact Children's University Trust
3. Children's University Managers will need to seek complete permission from the school they are transferring the children to, there will need to be confirmation from the current school and the new school BEFORE transfer on Children's University Online can take place.
4. Only transfer children that you know are definitely attending the new school, if you are unsure you can archive user accounts that can be restored at a later date.

This guide aims to help you locate an activity that has been validated or is awaiting validation and is not appearing in your activity list.
Children and young people aged 11+ will automatically be allocated a dashboard which has been designed to be more age appropriate and has extra functionality including the ability to add their own activities and reflect on their skills development in line with the Skills Builder Framework
If a child does not have a stamp code for an activity they have attended, they can request a stamp code through their dashboard. Children are asked to fill out some basic information regarding the activity they have attended. Once they submit this it will come through to your Children’s University manager dashboard under Stamp appeals. You can then approve or reject the appeal and leave a note that appears on the child's dashboard
A child may not have a stamp code for a couple of reasons
- The activity they have attended/completed has not been validated on Children's University Online
- The learning provider has lost or forgotten the stamp code
Children’s University Online allows managers and schools to view and export graduation reports. These reports can be mail merged with Children's University certificates

When children log in to Children's University Online for the first time they will be asked to create their own password.
Children's University managers and school coordinators have the ability to reset a child's password through the dashboard if needed.
As well as the ability to add a full activity listing through the dashboard Children's University managers and school coordinators are able to add a Basic Activity. This functionality is a really quick way of creating a stamp code for an activity that has not been already validated. As the Basic Activity does not require scheduling information or a description it is not publicly available and does not appear on our activity search. This function should be used with discretion for generating stamp codes for one-off or ad-hoc activities.
Children gain stamps for activities they take part in beyond the classroom, they can collect these in their Passport to Learning and enter them into Children’s University Online. This unlocks additional information about the activity they have attended such as skills and categories of learning they have engaged with and how many hours of learning beyond the classroom they have achieved. The aim is to gain enough hours over a period of time to allow them to graduate and gain a certificate for their efforts. You can find the Children’s University award structure below. This will tell you how many hours is required to graduate and hit each award level/certificate.

The activity export function allows Children’s University managers and school administrators to export activity information including;
- Scheduling information.
- Contact details.
- Categories, skills and engagement tags.
- Scheduling information.
- Stamp code/s.
Children’s University managers will be able to export all, or a selection of their local activities and the activities linked to each of their schools. School administrators will only be able to export their in-school activities.
Elevate UK have designed these fantastic postcards for you to share with your schools and members. They have been designed for children and their care givers to give to activity leaders and organisations within their local area that they would like to see recognised as a validated Children's University activity.
The postcards have information for the activity provider on how to get involved plus a handy QR code that will take them directly to the activity form.
